POSITION DESCRIPTION

The Program Specialist plays a key role in supporting the Program Coordinator in the strategic development, execution, and coordination of initiatives within the CYC Branch Offices. This role involves providing administrative support, coordinating program activities, managing office logistics, and engaging in community outreach efforts. Additionally, the Program Specialist will focus on corridor outreach initiatives, aimed at fostering community engagement and organizing events to showcase the diverse cultural experiences of the communities.

DUTIES AND RESPONSIBILITIES

  • Collaborate with the program team, including the Program Coordinator and Manager, to develop and manage training materials and curriculum.
  • Coordinate program activities and workshops with CYC partners to ensure successful implementation and participation.
  • Assist in organizing special events and programs for staff and agency initiatives.
  • Work with the corridor outreach team to develop, coordinate, and promote festivals and events celebrating diverse API experiences.
  • Create culturally appropriate strategies to engage participants and foster appreciation of cultural and historical assets within API communities.
  • Develop promotional materials, identify media and marketing opportunities, and create partnership guides to enhance local engagement.
  • Conduct monthly outreach to businesses, providing updates on City programs and fostering collaboration on community initiatives.
  • Maintain and update commercial inventory information through quarterly vacancy tracking to support strategic planning.
  • Provide referrals to linkage services to ensure comprehensive community support.
  • Provide comprehensive administrative support to the Program Manager and staff to ensure smooth office operations.
  • Manage office supplies, equipment, and maintenance, including ordering supplies, troubleshooting equipment, and scheduling emergency drills.
  • Maintain and organize office areas, including bulletin boards, supplies, and forms, ensuring a clean and functional workspace.
  • Perform general office duties such as data entry, file management, record-keeping, answering phones, mail distribution, and photocopying.
  • Coordinate cleaning and maintenance services for office facilities.
  • Work closely with local merchants to prepare for and participate in project activities, including promoting events, enhancing storefronts, and securing contributions.
  • Support efforts to increase local spending and community participation through strategic partnerships and promotions.
  • Be willing to travel between CYC branch office locations and adapt to various office environments.
  • Assist with managing program data entry and filing systems.
  • Perform other duties as assigned by the Program Coordinator and Manager.

QUALIFICATIONS/REQUIREMENTS

  • B.A. preferred or 2+ years of office work experience.
  • Good written and verbal communication skills in interacting with people in a positive manner. 
  • Good knowledge of Google Drive and Microsoft Office Applications, such as MS Word and Excel.
  • Excellent project management skills with a results-oriented focus, and ability to meet strict deadlines.
  • Good level of personal organization, attention to detail and follow through with a strong ability to keep cool in stressful and high-energy environments.
  • Ability to handle sensitive and confidential information with discretion and diplomacy.
  • Must be dependable and have ability to multitask and prioritize work while also being flexible to support staff needs.
  • Possess professional demeanor, integrity, good judgment, and great sense of humor.
  • Bilingual in English and Chinese (Cantonese and/or Mandarin) is required.
  • Commitment to taking regular COVID-19 health tests as required by the program health and safety plan and guidelines.
